Executive and Administrative Assistant (m/f/x)

Permanent position, full time

As an Executive and Administrative Assistant, you will play a key role in ensuring the smooth operation of the office by providing administrative, organizational, and operational support to partners and teams. You will be the primary point of contact for welcoming visitors, managing administrative tasks, and liaising with suppliers.

Main Responsibilities

  1. Executive Assistance:
  • Managing the Executive Team’s schedules, monitoring emails, and handling signatories.
  • Preparing letters, files, and administrative documents.
  • Handling and distributing mail (collection, scanning, distribution).
  • Telephone reception: answering, screening, and forwarding calls.
  • Managing meeting rooms and coordinating appointments.
  • Welcoming visitors and external service providers.
  1. Administrative Assistance:
  • Supporting client invoicing follow-up, reminders, and transmission to the accounting firm.
  • Monitoring and entering supplier invoices.
  • Acting as a liaison with suppliers for orders and recurring building maintenance services.
  • Managing office supply orders and assisting in organizing internal events.
  • Managing relations with property owners, tenants, and service providers for building maintenance (breakdowns, repairs, etc.). Following up on invoices and payments.
  1. Secretariat Assistance for Architects
  • Scheduling appointments, handling correspondence, and preparing files.
  • Collecting building permit certificates, cadastral extracts, etc.
  • Assisting in obtaining competition-related documents.
  • Entering and updating administrative data.

Your profile:

  • Training in assistance, administration, or equivalent
  • Excellent command of French, German, and Luxembourgish (mandatory).
  • 2 to 5 years of experience in a similar position, ideally in a dynamic environment.
  • Proficiency in office tools (Word, Excel, Outlook).
  • Excellent interpersonal skills and professional discretion.
  • Ability to handle multiple tasks simultaneously and meet deadlines.

Architect – Experienced (m/f/x)

Permanent position, full time

You will be responsible for managing complex projects of varying scales within our firm, from design to execution. You will coordinate the different phases of the projects under your supervision, working alongside a dedicated team.

Your responsibilities:

  • Independently manage business processes while initiating strategic actions and supervising team members involved in the project.
  • Analyze and synthesize the regulatory framework specific to each project.
  • Monitor financial aspects and ensure compliance with the allocated budget.
  • Collaborate in developing and tracking project schedules while ensuring seamless execution.
  • Act as the primary liaison with clients, engineering firms, contractors, and authorities to coordinate the project and conduct negotiations.
  • Design and develop execution plans and construction details.
  • Draft specifications and prepare corresponding documents.
  • Supervise construction work and ensure compliance with technical requirements.

Your profile:

  • Holder of a Master’s degree in Architecture (Bac+5).
  • At least 5 years of significant experience in an architectural firm, particularly covering execution development, tendering, project awards, site supervision, project completion, and cost assessment.
  • Proficient in ArchiCAD and the MS Office suite (essential); knowledge of Bim Office, Bim Collab, and Revit would be an asset.
  • Excellent command of French; German is a plus.
  • Ability to manage multiple projects simultaneously and adapt to dynamic work environments.
  • Strong sense of rigor, autonomy, teamwork, service orientation, and a continuous learning mindset.

Architect – Junior (m/f/x)

Permanent position, full time

Are you passionate about architecture and want to be part of a dynamic team working on large-scale projects? We are looking for a motivated Junior Architect to join our architecture office.

Your responsibilities:

  • Joining a project team and working closely with senior architects on a variety of innovative projects
  • Participate in all stages of the design process, from the sketch phase through to project completion.
  • Reporting regularly to the team leader in charge.

Your profile:

  • Graduate in architecture (BAC+5).
  • You have at least 3 years of experience.
  • Perfect command of French; knowledge of German would be an asset.
  • Thoroughness, autonomy, a sense of service and excellent team spirit.
  • Perfect command of ArchiCad.
  • Interest in BIM

Modelling technician / Architectural draughtsman (m/f/x)

Permanent position, full time

Your responsibilities:

  • Taking charge of and following up graphic documents at all stages of architectural and urban planning projects, bills of quantities, invitations to tender, etc.
  • Mastering the graphic tools required to convey the principles of the projects developed and to provide quality details.
  • Ensuring consistency in the geometric representation of documents.
  • Ensuring the accuracy and presence of data in all phases of a project.

Your profile:

  • Holder of an architectural drafting technician diploma.
  • You have at least 3 years of experience.
  • Solid command of ArchiCAD required (3D); Revit would be an asset.
  • Knowledge of Sketchup, Illustrator, Photoshop; Lumion would be an asset.
  • Strong interest in BIM.
  • Perfect command of French, German would be an asset.
  • Thoroughness, customer focus and ability to work as part of a team.
